The Opportunity:
Thrive Commerce is seeking a dedicated, highly organized, and customer-focused Executive Assistant to join our Worldwide Marketing team. This role is pivotal in supporting senior leaders within the organization and requires exceptional attention to detail, superior organizational skills, and the ability to manage multiple high-priority requests while meeting tight deadlines.
The ideal candidate will handle confidential information with the utmost integrity and professionalism, demonstrating flexibility and the ability to adapt to shifting priorities seamlessly. You will need to execute complex tasks and projects efficiently with minimal guidance, respond swiftly to urgent situations, and embrace new challenges with enthusiasm.
As an Executive Assistant, your responsibilities will include managing intricate calendars, coordinating key deliverables, organizing travel arrangements, and planning team activities and events. You will also be responsible for scheduling, agenda coordination, space planning, and ad hoc project support. A high level of discretion, professionalism, and the ability to act as a trusted extension of our senior leaders are essential.
Key Responsibilities:
- Complex Calendar Management: Schedule and manage complex calendars with diplomacy and discretion.
- Information Handling: Organize, prioritize, and manage time-sensitive and confidential information, ensuring timely action and follow-up.
- Team Activities: Organize and assist with team activities, including on-site events, off-site meetings, and team social gatherings.
- Travel Coordination: Arrange cost-effective travel, create detailed itineraries, and manage both domestic and international travel processes. Coordinate with travel agents and handle expense reports promptly.
- Cross-Functional Coordination: Work closely with Recruiting, Facilities, HR teams, and other Executive Assistants within the Thrive Commerce community.
- Deliverables Tracking: Track and drive the completion of key deliverables, follow up on outstanding items, and manage meeting notes and action items.
- Liaison Role: Act as a liaison between senior marketing leaders and their teams, facilitating communication and collaboration.

You will balance tight deadlines and multiple critical requests while maintaining flexibility, a positive attitude, and composure under pressure. Basic Qualifications
- 2+ years of senior level leadership support experience
- Experience managing multiple executive level calendars
- Experience with domestic and international travel coordination

- 4+ years of senior level leadership support experience
- Experience in a fast-paced, high-tech company
- Experience managing multiple calendars
- Experience prioritizing and handling multiple assignments at any given time while maintaining commitment to deadlines
